Position Summary
Responsible for scheduling appointments as directed by referral, Dayton Gastroenterology physician order or in response to patient requests. Responsible for scheduling office and procedural appointments for new and established patients using Dayton Gastroenterology guidelines. This position supports a team centered approach to the efficient and timely scheduling of patient appointments.
Job Responsibilities
- Responds to Call Center calls in a friendly, efficient and customer-focused manner.
- Evaluates referrals against individual physician preferences and practice guidelines and initiates patient contact within 24 hours of request. Seeks physician or manager assistance if referral falls outside of normal parameters.
- Updates referral, demographic, and insurance information in the practice management database.
- Schedules office and procedure visits utilizing physician appointment parameters and preferences. Updates referral and recall entries in practice management system.
- Specialty scheduling assignments as directed by the manager.
- Makes decisions regarding scheduling based on physician preferences. Seeks manager, nurse/MA or physician assistance as indicated.
- Makes decisions regarding safe procedure preparation and scheduling based on physician preferences. Seeks nurse or physician assistance as indicated.
- Selects preparation information to provide to the patient and provides verbal patient education for procedure preparation to supplement written information. Eprescribes/ calls/preparation prescriptions to pharmacy when the patient will be unable to receive the prescription by mail.
- Communicates special appointment follow-up needed prior to the patient appointment to the clinical and/or endoscopy staff. (Examples include anticoagulant/antiplatelet or ICD instruction/anesthetist.)
- Provide patients with the appropriate forms, Dayton Gastroenterology literature, and instruction and documents patient interaction, patient education or other communication clearly and neatly.
- Notifies referring physicians of patient appointments or inability to schedule patient.
- Assists with the efficient use of physician or physician extender time.
- Pick-up tasks and portal inbox messages for central scheduling.
- Process Hospital Reports and contacts patients for scheduling follow up and sends all clinical follow up to the appropriate clinical team member.
- Supports team members.
- Attends staff meetings and provides input for department improvement.
- Communicates operational issues, day to day scheduling conflicts, potential issues with referring physicians etc. to manager or clinical or endo nurse manager as needed.
- Demonstrates excellent customer service skills.
- Additional duties as assigned.
Metrics
- 95 – 105 appointments scheduled per week.
- 30 – 50 answered calls per day.
- Minimum available time is 4 – 5 hours for calls.
- Takes off portal and inbox tasks minimum messages equal to co-worker.
Education and Experience
- High school graduate.
- Previous medical office experience, medical terminology coursework preferred.
- Experience using a computer.
Knowledge
- Formal training with at least one year experience as medical assistant, medical secretary, health unit coordinator, nursing assistant or similar role.
OR - In lieu of formal training has at least two years experience involving patient care and is able to demonstrate a familiarity with medication names and purpose, a thorough understanding of basic medical terminology, basic knowledge of common diagnoses and surgeries, and patient health interviewing skills. HIPAA and Compliance.
